Setting up automatic shipping notification emails

Introduction

Some customers may require tracking/package information or copies of shipping documentation to be emailed before their shipment arrives. SureShip™ can be configured to perform this task automatically for specific customer ship-to addresses.

This article describes how to setup recipient email addresses for shipping notification emails, an overview of their contents, and how they behave.

Automatic shipping notification functionality is only possible while the customer shipping notification setting on the AIT Custom Parameters form is enabled.

Customer Document Profile

The Customer Document Profile form is used to specify destinations for various tasks and reports generated by CloudSuite™ Industrial. A unique profile must be created for each customer ship-to address that automatic shipping notification emails will be sent for.

To set up recipient email addresses for automatic shipping notification emails:

  1. Click Filter In Place to remove the filter search and display all existing records.
  2. Click Create a new object in the current collection.
  • Select the appropriate Customer number.
  • Select the appropriate Ship To address number.
  • Set the Method to "E-mail".
  • Enter the recipient email address(es) in the Destination field. Separate multiple email addresses using semicolons (;).
  • Set the Task Name to "Shipment Bill of Lading Report" or "Shipment Packing Slip Report", depending on which of these documents will automatically be sent to the recipient.
  • Set the Active checkbox to the appropriate value.
  • Enable the checkbox to toggle on shipping notification emails for the customer ship-to address.
  • Disable the checkbox to toggle off shipping notification emails for the customer ship-to address.
The Active setting is not retroactive. Recipients will not receive notification emails for any shipments finalized while this checkbox is disabled.
  1. Click Save.


What is included on shipping notification emails?

Notification emails contain the following information:

  • Ship from address
  • Ship to address
  • Carrier and service type
  • Total number of packages on the shipment
  • Tracking numbers and weights on all packages

The email will also include a PDF attachment of the SureShip™-generated document type specified in the relevant customer document profile.

When are shipping notification emails generated?

Notification emails are generated upon successful shipment finalization. Allow up to 10 minutes for the message to reach its recipient(s).

Can automatic shipping notification emails be generated for non-API carriers?

Yes – notification emails can be generated for any shipment, regardless of carrier. 

What happens if a customer ship-to address is not set up to receive automatic shipping notification emails?

If a profile has not been setup for a customer ship-to address, or the profile is not currently active, the customer will not receive an automatic email notification about their shipment. Instead, the ship notification email will be sent to the default recipient defined in AIT Custom Parameters.
